Opera Theatre of Saint Louis is hiring an Artistic Coordinator, who is responsible for supporting the day-to-day operations of the Artistic department through coordinating year-round artistic services for artists in residence, expense tracking and forecasting, contract administration, operations planning and implementation, artistic database management, and providing other administrative support.

Responsibilities

Artistic Operations Support

  • Provides support to Artistic department head in the areas of calendar management, team meeting scheduling, special projects, expense reports, and travel arrangements.
  • Coordinates travel and lodging for visiting artists and Artistic staff as requested.
  • Provides on-site artistic duty at performances, rehearsals, and events as needed.
  • Processes and reconciles department expenses.
  • Manages department expense tracking and informs forecasting in budgeting process.
  • Supports Artistic department head in facilitating team-building opportunities and stewarding a collaborative and inclusive team culture.
  • Contributes to the proofreading and editing process of Artistic-related marketing collateral.

Artist Services

  • Serves as first point of contact for logistical needs of seasonal staff and artists, serving to troubleshoot, problem solve, field inquiries, and manage phone/email communication.
  • Manages housing and travel for singers, stage directors, designers, music staff and seasonal production staff in residence throughout the year and in Festival Season, including coordination of hotel reservations, travel itineraries, negotiation of housing and car rental agreements, and preparation of tenant applications.
  • Attends to logistical needs of artists for medical care, banking assistance, and interactions with governmental agencies while in residency.
  • Manages vendor relationships and negotiation of vendor contracts in support of artist services.
  • Schedules and manages on-site logistics for industry professionals and clinicians during Festival Season.
  • Assists in maintaining accurate artistic personnel data and records in ArtsVision.
  • Liaises with OTSL housing volunteers to coordinate patron housing for artists as needed.
  • Facilitates ticket requests from artistic personnel, managers, and industry guests.
  • Recruit, manage, and schedule seasonal van drivers for Festival Season personnel transportation.

Audition Tour Management

  • Researches and proposes scenarios for annual audition tour, including dates, timing, and locations.
  • Arranges travel and lodging for audition tour personnel.
  • Identifies and books optimal audition venues.
  • Assists in executing audition logistics as needed.

Music Library Support

  • Ensures scores are delivered to all artistic personnel (singers, conductors, music staff, orchestra, etc.)
  • Oversees music library maintenance and maintains library catalog.

Qualifications / Requirements

  • 1-2 years’ experience working in an administrative role or non-profit setting.
  • Bachelor’s degree or equivalent work experience preferred.
  • Familiarity and appreciation of opera or classical music.
  • Proficiency in Microsoft Office Suite.

Compensation & Hours

  • Compensation: $42,000-$43,000 annual salary plus benefits.
  • This is a full-time, non-exempt position.
  • Opera Theatre has a flexible work policy which allows for some hybrid work and asynchronous schedule arrangements.
  • Some weekend and evening hours will be required, especially during Opera Theatre’s festival season (May-June).
